Photo and signature requirements for online forms
Getting a photo and signature through an application form the first time.
Exam registrations, job portals, university applications and official forms nearly all ask for a photo and a signature, each with its own rules. The rules differ from form to form, but they follow the same pattern, and most rejections come from the same handful of mistakes.
Read the form's rules first
Every form states its own requirements, usually in a notice or next to the upload button. Write them down before you start. You are looking for four things:
- The file type, almost always JPG or JPEG.
- The maximum file size, often 20 to 100 KB, and sometimes a minimum too.
- The pixel dimensions, for example 200 by 230 or 350 by 450, if stated.
- Rules about the content: background colour, face size, glasses, date on the photo.

Taking the photo
- Stand in front of a plain white or light wall, facing a window or in even daylight.
- Face the camera straight on with a neutral expression, eyes open and visible.
- Hold the phone at eye level, about an arm's length away, or ask someone to take it.
- Avoid shadows on the face or the wall behind you, and remove caps and sunglasses.
Preparing the signature
- Sign on plain white paper with a black or dark blue pen, a little larger than usual.
- Photograph it flat, in good light, straight from above so the paper looks white.
- Crop tightly around the signature with a small margin.
Getting the files to the right size
- Crop each image with the crop tool: head and shoulders for the photo, just the signature for the signature. If the form states an aspect ratio, lock the crop to it.
- If the form gives pixel dimensions, resize to exactly those.
- Compress each file to the form's limit with the compress to KB tool. There are ready presets for 20 KB and 50 KB, the most common limits for signatures and photos.
- Name the files simply, such as photo.jpg and signature.jpg, without spaces or special characters. Some older portals reject unusual file names.
